Before the first link

Choose one decision or learning goal. Write down the audience, the owner, and the point at which the group should review its findings. Keep unrelated personal browsing and sensitive material out of the initial collection.

While you are researching

Save a reference with a readable title and a sentence explaining its role. Identify what the source says separately from your interpretation. Keep unresolved questions visible instead of allowing a confident-looking note to stand in for evidence.

When someone else takes over

Leave a brief handoff: what was checked, what changed, what remains unclear, and what should happen next. A reviewer should know the requested response without needing to reconstruct a previous conversation.

When the project is finished

Record the outcome, its supporting sources, and any reason the decision might be revisited. Remove unnecessary access and identify a maintainer for references that should stay current. A useful archive distinguishes historical evidence from current instructions.

Try it in one small project

Use public sample references to test the structure. Ask a colleague to find the current question and explain the next action. Revise the workflow where that task is confusing, rather than adding complexity everywhere.
